The world is your oyster when you’ve got an organized office! Well, that might be a little bit of an exaggeration, but it’s no surprise that an ordered space can increase your productivity! Here are some easy ways to increase the efficiency of your workspace.
If you’re not sure where to start, take a quick picture of your office with a cellphone or camera. Problem areas that you’ve become accustomed to may pop out at you. Make sure to get take pictures from several angles, to catch spaces that may be out of sight from other vantage points.
Purge everything you don’t need. Instead of trying to shoehorn everything in your office into place, only work with the items you really need.Try clearing everything out, and only bring back the items you know you use on a regular basis. Items that are no used regularly can be moved to external storage or other locations.
Create zones for different kinds of work. This compartmentalizes your space, and keeps your work items from spreading out. Have a specific space for “to process” items, so they don’t take over your desk. If you have an inbox, make sure it’s clearly labeled where those who need to add items to it can see it. Establish a work flow so that processed items stay in their assigned areas while they are being completed.
Store as much as you can digitally. Digital files only take up computer space, and can be easily replicated and moved, making it an ideal storage system. Back all your files up on am external drive, or on a set of CDs or other storage options. Check to see if your workplace has an archive system in place to store your hardcopy materials that cannot be destroyed or recycled. Archive your files, both digital and hardcopy, on a regular basis. Once something has been processed and is no longer regularly needed, archive it and clear your space.
